Five New Year's Resolutions for Your Agency Management System

The new year is upon us and that means New Year's Resolutions are under way. Many people join a gym, try to eat better, kick a bad habit, etc. We thought we'd share a few resolutions for your agency management system to help you get the most out of it and make your work life easier. Here are a few ideas to help you get motivated.

Remove the clutter

Agency management systems tend to get bloated over time with unused data that continuously gets in the way of your every-day tasks. In your AgencyBloc account, take some time to go through and clear out Groups, Individuals, Policies, Carriers, and Agents that are no longer needed. A good way to do this is to run some reports from your account and narrow them down to just the items that need deleted. Share the list with a co-worker and before you know it your account will be clutter-free!

Fill in the holes

Take some time to fill in the missing pieces of your database. Using consistent labels and having complete data will give you much more accurate results when looking at reports. Here are a few ideas:

  • Apply a Status to all of your Policies rather than just a portion of them.
  • Make sure an agent is assigned to each Group, Individual, and Policy.
  • Fill in all Group Type and Individual Type fields with consistent labels that make sense for your agency.

Narrow down your options

AgencyBloc gives you the flexibility needed to customize your account to your way of doing business. All of the options in your drop-down menus can be edited and any unused options can be deleted. Check out the Help section for instructions on this. One list that gets especially cluttered in Plus accounts is the Coverage Type drop-down menu. Fortunately, a merge utility is available for you to merge similar coverage type options. You don't need to trip over all of the unused options. Do yourself a favor and clean them up!

Get consistent

Focus on being consistent with tasks such as entering client information, commissions processing, activity follow-ups, etc. Create a process for entering new client information so that you don't have to go back and fill in the holes. Set a goal to not get behind on commissions processing - it's easier to stay current from month to month than it is to get caught up on several missed months. Being consistent improves your communication with clients and helps your office run more smoothly.

Track your progress

A key differentiator of "high growth agencies" is that they track metrics around marketing and know what's effective and what's not for their agency.
